What information we collect, use, and why
We collect or use the following information to provide the service:
- Your name and email address, to create your account and sign you in
- Your business name and how you want replies to sound (your "voice")
- The review text you paste in, and any reviewer name that came with it, so we can write a reply to it
- The replies we write, so you can find them again and copy them later
- Billing details, once paid plans open - card numbers go straight to Stripe, our payment processor, and we never see or store them ourselves
We collect or use the following information to prevent fraud:
- Your IP address and your business postcode, to stop one business claiming free replies more than once
Lawful bases and data protection rights
Under UK data protection law, we must have a "lawful basis" for collecting and using your personal information. Our lawful basis for providing the service to you is Contract - we have to collect and use this information to carry out our contract with you. Our lawful basis for the fraud-prevention information above is Legitimate interests - specifically, keeping the free plan fair to everyone using it.
Which lawful basis we rely on affects your data protection rights, set out below. You can read more about each on the ICO's website.
- Right of access - ask us for a copy of your personal information
- Right to rectification - ask us to correct information you think is wrong or incomplete
- Right to erasure - ask us to delete your personal information
- Right to restriction of processing - ask us to limit how we use your personal information
- Right to data portability - ask us to transfer your information to another organisation, or to you
The right to object, and the right to withdraw consent, do not apply here since we do not rely on legitimate interests for anything you can object to, or on consent. To make a request, email help@repliqo.co.uk. We will respond within one month.
Where we get personal information from
- Directly from you - your account and business details
- Publicly available sources - a review's text and the reviewer's name, which you paste in from wherever the review was already posted publicly (Google, Trustpilot, TripAdvisor, Checkatrade or Facebook)
How long we keep information
We keep your account, reviews and replies for as long as your account is open, so your history is there when you come back. [RETENTION SCHEDULE - fill in once decided, e.g. how long after account closure records are kept for tax purposes.] If you close your account, email help@repliqo.co.uk and we will delete it, other than what we are required to keep for tax or accounting purposes.
Who we share information with
Data processors:
- Anthropic - the review text you paste in is sent to their API to write a reply to it; it is not used to train their models
- Supabase - hosts our database and handles signing in
- Vercel - hosts the website itself
- Stripe - once paid plans open, to take payment
We do not sell your data, and we do not share it with anyone else.
International transfers
Your account and business data is stored in the EU (Ireland). The review text you paste in is sent to Anthropic's API in the US to write a reply to it, and our website itself runs on servers in the US. Where personal information leaves the UK like this, it is protected by standard contractual clauses or another safeguard recognised under UK data protection law.
